WhatsApp works best when a message has a recognisable reason for the person receiving it. Before automating a sequence, define which request it continues, who handles it and the next step. This guide focuses on enquiries the business has already received and contacts expecting communication through this channel.

Prepare three operational details: conversation source, reason for contact and owner. Preserve communication preferences and a clear procedure for stopping messages when someone asks. Do not treat a phone number published in a directory as an invitation to send promotions.

Distinguish replies from templates#

HighLevel’s documentation distinguishes snippets, reusable blocks for replying within an active conversation, from approved WhatsApp templates. Outside the twenty-four-hour service window following the contact’s last message, an approved template is required to initiate permitted communication. A snippet does not replace that approval. Organise messages by purpose: answering a question, confirming an appointment, providing requested information or continuing an outstanding matter. Write short messages identifying the business and explaining the reason. Avoid mixing a service reminder with a promotion unrelated to that matter.

Before using variables, establish what happens when a name, date or link is missing. A technically valid template can still create a confusing experience if it includes incorrect information. Review previews using test data representing complete and incomplete cases.

Build a small workflow#

  1. Verify that the account and channel are connected and the person expects the message.
  2. Select the event that justifies contact, such as a confirmed appointment.
  3. Check the conversation’s context and the appropriate message format.
  4. Assign who receives replies and define when that person should intervene.
  5. Stop follow-up when the matter is resolved or an opt-out request arrives.

Measure resolved conversations#

Hypothetical example: an agency confirms a session requested by a client. The message includes the date, purpose and a way to request a change. If the client explains that another time is needed, an owner receives the context and handles that request before any further reminder.

Count deliveries, relevant replies, resolved matters and requests to stop receiving messages. Review sending failures by cause: connection, information, template status or conversation context. Do not repeatedly retry the same message without understanding the error.

Start with a small group and review real replies. The operational question is whether the channel makes the matter easier to resolve and whether the team can handle the work it generates. The number of messages sent, by itself, answers neither question.
